The photography quotation format that wins Indian clients

Two studios quote the same wedding at the same price. One sends '₹2,50,000 for full wedding coverage' in a WhatsApp message. The other sends a numbered PDF: functions itemised, deliverables specified, payment schedule and terms printed. The second studio wins the job more often — and gets negotiated down less — because the quote itself communicates competence.
Here is the format that works, section by section. Copy it into whatever tool you use.
The eight sections of a professional quotation
- 1. Header — studio name, logo, address, phone, email, GSTIN if registered; quote number and date
- 2. Client block — names, contact, wedding city, event dates
- 3. Itemised coverage — one line per function: 'Mehandi (12 Dec, evening): 2 photographers, 1 cinematographer — ₹35,000'
- 4. Deliverables — edited photo count, film lengths, album spec (pages/size), reels, delivery format
- 5. Timeline — teaser in X days, gallery in Y weeks, album Z weeks after selection
- 6. Investment summary — subtotal, any discount shown explicitly, taxes if applicable, grand total in ₹
- 7. Payment schedule — advance %, instalment triggers, balance timing; your bank/UPI details
- 8. Terms — validity date, travel/stay for outstation events, raw-footage policy, cancellation terms
The details that quietly win jobs
Number your quotations (AZQ-2026-041 reads like a business; 'final final quote 3.pdf' does not). Put a validity date — it creates gentle urgency and protects you from price changes. Show discounts as a line, never as a mysteriously lower total, so the client sees the value they extracted. And spell out the raw-footage policy before it becomes a fight.
On GST
If you're GST-registered, show your GSTIN on the quote and state whether prices are inclusive or exclusive — corporate clients will not process an invoice that's vague about tax. If you're below the threshold and unregistered, simply omit the tax line rather than writing confusing zero-GST rows.
Handling revisions without losing the plot
Indian wedding sales are negotiations. When the client asks for changes, issue a revision — same quote number, revision 2 — rather than a fresh document. You keep the history, the client sees professionalism, and 'what did we agree in the end' has one answer.
